Privacy policy

Who is responsible for your information?

7 ASPECTS LTD, trading as Pulse Promo UK, is responsible for the personal information described here. Company number: 11176439. Address: Kinetic Business Centre, Thobald Street, Borehamwood, England, WD6 4PJ. Email tickets@pulsepromo.uk for privacy enquiries or rights requests.

Information we use

Bookings include your name, email address, contact number, ticket quantity, booking reference, payment status and amount. We also record whether and when a ticket is checked in. An optional buyer account stores your contact details and account authentication information. Payment card entry is handled by SumUp; our site does not store your full card number or card security code. Enquiries contain the information you send us. Hosting and authentication services may process technical information such as IP addresses and security logs.

Why we use it and our lawful bases

We use booking details to take payment, issue tickets, provide entry, manage changes or refunds and communicate about your booking, because this is necessary to perform our contract with you. We use optional account information to provide the account service you request. If you do not provide required booking information, we cannot complete the booking.

Our legitimate interests include securing the site, preventing ticket fraud and duplicate entry, answering enquiries and resolving disputes. We use only information reasonably needed for these purposes and consider your rights. We retain information required for accounting or other legal obligations on that legal basis. Optional analytics and advertising tracking rely on your separate consent. You can withdraw it through Cookie settings without affecting your purchase. We do not automatically subscribe buyers to promotional emails.

Organiser submissions and venue verification

Approved organisers can submit event information, posters, artist names and photos, and venue contracts. We use this information to assess the event, confirm the organiser’s authority to host it and provide ticketing services, based on our contract and legitimate interests in preventing fraud. Venue contracts remain private to the submitting organiser and Pulse Promo administrators; they are not included in public event pages or analytics. Organisers should redact bank details and unrelated personal information before uploading. We retain verification documents as needed for the event and any related dispute or legal obligation.

Venue searches send the entered business venue name or postcode to Photon/OpenStreetMap and Postcodes.io to suggest addresses. Where available, Wikimedia supplies licensed venue photos with attribution. Manual address entry and uploading a venue photo are alternatives. Public venue images hosted by Wikimedia may reveal technical information such as IP addresses to Wikimedia when loaded. Artist searches send the entered artist name to Wikidata/Wikimedia to find matching performers and licensed photos. Wikimedia-hosted artist images may also reveal technical information such as IP addresses when loaded. Artist names can be entered without selecting a photo.

Who receives information?

Our service providers include Sites/Cloudflare for hosting and booking records, Supabase for account authentication, Resend for transactional ticket and sign-in emails, and SumUp for payments. Microsoft 365 hosts our customer correspondence mailbox. Approved event organisers and entry staff can access relevant guest names, ticket quantities, sales amounts and check-in information for their assigned events. Organiser sales views do not display buyers’ email addresses or phone numbers.

Google receives optional analytics information only after analytics consent. Meta receives selected public page activity, page and referrer addresses, device information, IP addresses and advertising identifiers only after advertising consent. We use this to measure campaigns and build audiences; Meta may associate the activity with your Meta account under its own privacy policy. We do not send booking form contents, account contact details or payment card information to these trackers. We may share information with professional advisers or public authorities where necessary for a legal obligation or dispute. Other websites linked from our site handle information under their own policies.

International processing

Some providers may process information outside the UK. Where UK data protection rules require safeguards, transfers must use an applicable adequacy arrangement or appropriate contractual safeguards, such as UK-approved international transfer terms. Contact us for details about a particular provider or transfer.

How long we keep information

We retain booking and payment records for the time needed to deliver the event, handle refunds or disputes and meet accounting or legal obligations. These obligations may require retaining financial records for up to six years. Account information is retained while your account is in use, subject to deletion requests and any records we must separately retain. Enquiries and check-in information are retained only as long as needed for the enquiry, event operations, fraud prevention or an unresolved dispute. The appropriate period depends on the purpose and any legal requirement; contact us for information about a particular record. Cookie lifetimes are described in our cookie policy.

Your rights

Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your information, and object to processing based on legitimate interests. You can withdraw consent at any time. Some information may need to be retained to meet legal obligations or resolve disputes. Email us with your request; we may need to verify your identity before disclosing or changing information. Do not send your password or full payment card details.

You can complain to the Information Commissioner’s Office (ICO). Please also contact us so we can try to resolve your concern. We do not use this site to make solely automated decisions that have legal or similarly significant effects on you.

Updates

We will update this page when our services or practices change. Material changes to optional tracking will be reflected in our cookie choices before the new tracking starts.

Ticket accounts and transfers

Confirmed tickets are linked to accounts using verified email addresses, including earlier guest purchases made with the same address. When you invite a friend, we use their email to deliver the invitation and show them who sent it. We keep ownership and transfer records to manage acceptance, cancellation and entry checks. A completed transfer replaces the original QR code. Ticket registration and transfer emails do not subscribe either person to marketing.
